WHSC Party Reservation
Policy and Booking Details

Members may book the upper pavilion (located at the back of the pool grounds next to the volleyball court) for private parties. 


How To Submit a Pool Party Request:

  1. Log in to your Member Splash Account: Click the button above or go to WHSC Member Splash. Log in using your username and password.

  2. Navigate to the Reservations tab, Make Reservations sub-menu:  From here, you can browse available dates and time slots by updating the calendar menu in the top right.

  3. Select your date and time: Choose your preferred date and time from the calendar. Any green time slot that says "50 Spots Remaining" is available to book. You’ll be prompted to enter essential party details, including the estimated number of members from your account and other guests.

  4. Secure your spot with Payment: To finalize your reservation, complete the required payment at the time of booking. Our secure checkout accepts all major credit cards, ensuring your party is officially confirmed and on the calendar instantly.

  5. Manage everything in one place: If your plans change, don’t sweat it! Simply return to Member Splash and navigate to the Reservations tab, My Reservations sub-menu. Here you can update or cancel your booking—allowing you to handle guest list adjustments or cancellations all in one spot.

Pavilion Rental Details:

  • Time slots: Parties may reserve a pavilion during any the following 2.5-hour blocks:

    • 11:30 am - 2 pm

    • 2:30 pm - 5 pm

    • 5:30 pm - 8 pm

  • Setup & Cleanup: The 2.5-hour block of time includes setup and cleanup. Please plan to arrive and depart within your reserved time slot. You may not access the pavilion or begin setting up before your reservation start time, and your event must be fully finished — pavilion cleaned and all guests departed — by your reservation end time. If your event space has not been cleaned and all guests have not vacated the pavilion by the end of your reservation, a $50 penalty fee will be assessed.

  • Restricted dates: Reservations are not available on Memorial Day (opening) weekend through Thursday the following week, Juneteenth, July 4th, Labor Day, or during swim meets.

  • Board approval: All parties are subject to approval by the Board to ensure availability and compliance with club policies. The max number of attendees at an event is 50 people. In general, parties with more than 30 non-member guests cannot be held on Fridays, Saturdays, or Sundays.

Pricing and Payment:

  • Reservation fee: The pavilion rental fee is $100 per time slot, payable upon confirmation of your Reservation.

  • Guest passes: Please include a list of non-member guests in your Reservation to ensure smooth and expedient check-in on the day of your event. Non-member guests require guest passes at $5 per person for single passes or $40 for a book of ten passes. Guest passes can be purchased through your Member Splash account under the Payments tab. Guest passes will be redeemed the day of the event.

  • Modify: If you would like to modify the date of your event, this must be done no less than two weeks prior to the start of the event. Please contact whscmember@gmail.com.

  • Cancel: If you would like to cancel your event without rescheduling and receive a refund, this must be done no less than two weeks prior to the start of the event. Please contact whscmember@gmail.com to request your refund.

Additional Information:

  • Head count: A final head count is due one week before your event, and your guest list must be added to your reservation no later than five days in advance of the event. Hosts may be required to cover additional costs if the pool operator determines that additional lifeguards and staff are necessary.

  • Etiquette: Please make sure that you familiarize yourself with the pool rules.

  • Safety: A swim test by the lifeguards for any children under 10 is required in order to use the diving board/deep end; close supervision of children by caregivers is expected.
